Title: Sales Assistant
Reports to: Sales Managers

Support the sales managers and assist with all aspects of the sports sales solicitation process. Interact with Greater Columbus Sports Commission current and potential event clients, along with the organization’s partners.

Major Responsibilities:
1. Assist sales managers on soliciting business and events to partners and clients:

  • Perform the following within the lead process:

- Proofs, distributes and monitors all sports leads, verifications, and lost business
- Track sales related activities in traces in the Simpleview database
- Understanding of the Simpleview Member Portal to educate community
- Responsible for communicating and educating hotel community on lead details

  • Coordinate all aspects of the bid process:

- Assist sales manager’s by compiling all hotel and facility responses into a customized excel grid and proposal
- Responsible for coordinating all bid related internal meetings
- Collaborate with marketing team to create customized bid books
- Prepare, coordinate and communicate all aspects of client site inspections including the agenda, welcome gifts, hotel reservations and transportation

2. Understanding and ability to create searches and reports in Simpleview database to help managers exceed production:

  • Prepare monthly board report by generating definite, lead and lost business reports from Simpleview database
  • Create reports related to sales activities and projections to review with managers
  • Collaborate with Experience Columbus sales team on monthly hotel meeting reports

3. Provide administrative support to sales managers:

  • Process expense reports and conference registrations
  • Coordinate all aspects of in-house and client meetings; including agenda preparation, room set up, packet preparation and updating notes in database
  • Conduct sales support activities to enhance manager’s productivity
  • Assist with all pre and post activities related to sales missions and industry events
  • Coordinate entertainment details with clients by managing invite lists, catering orders, ticket distribution
  • Schedule weekly meetings with sales managers to help increase productivity

Other Responsibilities:

1. Assist with mass mailings or other projects as needed
2. Attend client, GCSC and Experience Columbus functions as requested
3. Provide phone coverage backup in the absence of the office manager and executive assistant
4. Willing to work evenings and weekends at events
5. Some travel may be required

Education and Experience:

  • A 4 year degree from an accredited college or university is preferred
  • 2 years of experience in the hospitality industry preferred
  • The organization requires all employees to obtain and maintain their Certified Tourism Ambassador™ (CTA) designation

Competencies and Skills:

  • Strong customer service skills, both written and verbal
  • Must be an enthusiastic team player
  • Proven organizational skills with the ability to reprioritize daily based on the sales manager’s priorities and time-management skills to meet deadlines
  • Ability to successfully multi-task with detail oriented information and coordinate information from multiple sources
  • Ability to work independently and possess a strong creative mindset
  • Ability to maintain a patient, professional and personable manner at all times
  • Ability and comfort level to interact with clients, board members, hotel personnel, facility managers and vendors
  • Technical savvy:

- Proficient in Microsoft Office
- Sports Commission will provide training in Simpleview CRM software
- Experience with online applications and social media outlets
